Privacy Policy for Ontario Hood Cleaning

Privacy Policy is the document that explains how Ontario Hood Cleaning, a commercial kitchen exhaust cleaning company operating province-wide since 1995, collects, uses, retains, shares, and protects the personal information of the operators, property managers, and tenants who contact us through hood-cleaning.ca, our phone line, and our email address. This 2026 disclosure is written to satisfy the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), and the Ontario Limitations Act, and it covers every channel through which we handle customer data on its way to a signed NFPA 96 compliance certificate.

Plain-English summary of this privacy policy

The short version, before the section-by-section detail.

Ontario Hood Cleaning is a business-to-business commercial kitchen exhaust cleaning service. We collect personal information only when a building owner, restaurant operator, property manager, or facility coordinator reaches out for a quote, books a cleaning, or asks for a copy of a past compliance certificate. We use that information to deliver the cleaning, send the signed NFPA 96 certificate, and stay in touch about future inspection cycles. We do not sell data. We do not run advertising profiles. We do not process payment cards on this website. We share information only with the small set of service providers that help us run the business, and we keep cleaning records for ten years to satisfy industry retention practice for NFPA 96 documentation.

The personal data we collect

What we ask for, what arrives automatically, and what we deliberately do not collect.

Information you provide directly. When you fill out the quote form on hood-cleaning.ca, leave a voicemail at 647-905-9389, or email info@replies.hood-cleaning.ca, we collect the business name, contact name, role, phone number, email address, property address, kitchen description, and any free-text notes you choose to share. When the cleaning is booked, we add scheduling preferences, access instructions, and the name of the on-site contact who will receive the crew. After the work is complete, the signed compliance certificate records the technician name, date of service, depth-gauge measurements, photo references, and your signature.

Information collected automatically. Our hosting platform records standard server-side logs whenever a page on hood-cleaning.ca is requested. These logs include the IP address of the request, the user-agent string of the browser, the referring URL, the timestamp, and the page path. The logs are used to defend the site against abuse and to diagnose technical issues. They are not joined with form submissions for marketing purposes.

Information we deliberately do not collect. This website does not process credit card numbers, debit card numbers, or any other payment instrument. Invoices are settled by e-transfer or cheque outside of the website. The site does not host an account login, so no passwords are stored. The site does not ask for health information, government identifiers, biometric data, or any other sensitive personal information as defined under PIPEDA.

How we use the data once we have it

Every purpose for which personal information is processed by Ontario Hood Cleaning.

  • Quote response. Confirm receipt of a quote request, scope the work, prepare a written estimate, and email it back to the requester.
  • Scheduling. Coordinate the cleaning window with the operator or the property manager, including after-hours access and tenant notification.
  • Service delivery. Dispatch the crew, perform the NFPA 96 cleaning, photograph each surface, take depth-gauge readings, and hand the signed compliance certificate to the on-site contact.
  • Certificate delivery. Email the digital certificate, photo report, and audit-pack to the addresses on file within twenty-four hours of the visit.
  • Future inspection reminders. Send a courtesy reminder before the next NFPA 96 cleaning is due, based on the cooking-volume tier on file.
  • Recordkeeping. Maintain the cleaning log required by insurance carriers, fire inspectors, and authorities having jurisdiction in Ontario.
  • Service improvement. Aggregate, de-identified information may be reviewed internally to improve routing, certificate formatting, and crew dispatch.
  • Legal compliance. Respond to lawful requests from the Office of the Privacy Commissioner of Canada, fire-safety regulators, courts, and tribunals where production is legally required.

Lawful basis for processing under PIPEDA

The Canadian privacy framework that authorizes each of the purposes above.

The Personal Information Protection and Electronic Documents Act requires that the collection, use, and disclosure of personal information be supported by a recognized lawful basis. Ontario Hood Cleaning relies on three: consent, which is given when you submit a quote form, call our number, or email us with a request; contractual necessity, which authorizes the processing required to deliver a cleaning service that has been booked; and legitimate business interest, which covers limited internal record-keeping, fraud prevention, and the courtesy reminders that keep an operator's NFPA 96 documentation current. Marketing emails to past customers rely on the implied-consent provisions of Canada's Anti-Spam Legislation for two years following the last paid cleaning, after which we move to express-consent records only.

Where consent is the basis, you may withdraw consent at any time, subject to legal and contractual obligations and reasonable notice. Withdrawal of consent may limit the services we can continue to provide. A withdrawal request can be sent to info@replies.hood-cleaning.ca and will be acknowledged within five business days.

Third parties we share data with

The short, deliberate list of processors that touch customer data.

  • Netlify (staging form delivery). While hood-cleaning.ca is in its current build phase, contact form submissions are delivered through Netlify Forms. Netlify operates the form endpoint and forwards submissions to our inbox.
  • GoHighLevel (production CRM). Once the production launch is complete, quote requests will route directly into our GoHighLevel customer relationship management system, where active accounts, scheduling history, and certificate records are stored.
  • Email infrastructure. Outbound certificates, audit packs, and quote replies are delivered through a Canadian-based transactional email provider that is contractually bound to use the data only for delivery.
  • Insurance broker. When a landlord or property manager asks to be named as additional insured on the $5,000,000 commercial general liability policy, the property name and address are disclosed to our broker so the certificate of insurance can be issued. No other personal information is shared with the broker.
  • Accounting and tax. Invoice and payment records are shared with our accountant for bookkeeping, tax filing, and audit support. Financial records are retained for the seven-year window required by the Canada Revenue Agency.
  • No marketing data sales. We do not sell, rent, license, or trade customer data with advertisers, list brokers, or other marketing intermediaries. Ever.

How long we keep your data

The retention schedule applied to every category of record.

  • Quote requests that did not convert. Retained for twenty-four months from the last contact, then deleted.
  • Active customer accounts. Retained for the duration of the relationship plus ten years after the last cleaning.
  • Signed NFPA 96 compliance certificates and photo packs. Retained for ten years from the date of service, reflecting industry practice and the typical insurance-defence retention window.
  • Server access logs. Retained for ninety days, then rotated and destroyed.
  • Email correspondence. Retained for thirty-six months after the last message in a thread, unless tied to a specific cleaning record, in which case the ten-year cleaning-record retention applies.
  • Financial records (invoices, payments, expense receipts). Retained for seven years from the end of the fiscal year, in line with Canada Revenue Agency rules.
  • Marketing opt-out records. Retained indefinitely so a contact who has previously unsubscribed is never re-added.

Your rights under PIPEDA

What the Personal Information Protection and Electronic Documents Act entitles you to as a data subject.

Under PIPEDA, an individual has the right to access the personal information an organization holds about them, the right to correct information that is inaccurate or out of date, the right to withdraw consent for future processing where consent is the lawful basis, and the right to complain to the Office of the Privacy Commissioner of Canada if a response from the organization is unsatisfactory. The Information and Privacy Commissioner of Ontario (IPC Ontario) holds parallel authority over Ontario public-sector and health-sector information; for matters strictly between Ontario Hood Cleaning and a private-sector customer, the Office of the Privacy Commissioner of Canada is the controlling regulator.

To exercise any of these rights, contact our Privacy Officer at info@replies.hood-cleaning.ca or call 647-905-9389. Access requests are answered in writing within thirty days, the response timeline mandated by PIPEDA. There is no charge for a first access request. If an unusually large records production is involved, we will provide a written cost estimate before any fee is incurred.

Cookies and website analytics

What runs on this site and what does not.

During the current build phase, hood-cleaning.ca operates with only the essential cookies required by Netlify form delivery and the standard cache cookies set by the global CDN. There are no advertising cookies, no tracking pixels, and no third-party analytics scripts active on the site at the time this policy was published.

When the site moves to production, a single first-party analytics tool may be added to measure page-level traffic patterns, search-engine referrers, and conversion paths from page view to quote submission. If analytics are added, this policy will be updated, a banner will be presented at the top of every page describing the change, and any optional analytics will respect the Do Not Track signal sent by the browser. No analytics tool will be configured to record individual form contents, keystrokes, or session replays.

You can disable cookies in your browser settings at any time. Disabling cookies will not prevent the quote form from working, since the form does not rely on a logged-in session.

Security of your personal information

The administrative, technical, and physical safeguards we have in place.

Form submissions from hood-cleaning.ca travel to our hosting provider over an encrypted TLS connection. Email correspondence is delivered through a transactional email provider that enforces TLS in transit between our sending domain and major inbox providers. Payment instruments are never collected on this website, so the credit-card attack surface is zero by design.

Internal access to customer records is restricted to the small team that handles dispatch, certificate delivery, and accounting. Devices used by the team enforce full-disk encryption, strong passcodes, and automatic screen lock. Paper records, where they exist, are stored in a locked cabinet at our depot. Backup copies of the customer database are encrypted at rest and stored with a separate provider, geographically distributed inside Canada.

The $5,000,000 commercial general liability policy that covers our cleaning operations also includes cyber-incident response coverage. In the unlikely event of a privacy breach involving personal information, we will notify affected individuals and the Office of the Privacy Commissioner of Canada in accordance with PIPEDA's mandatory breach-reporting rules and document the response in line with industry best practice.

Children's privacy

Why this site is not directed at, and does not knowingly collect from, anyone under 18.

Ontario Hood Cleaning is a business-to-business service that sells exclusively to commercial kitchen operators, building owners, and property managers. The website is not directed at children, does not contain content of interest to children, and does not knowingly solicit or collect personal information from anyone under the age of eighteen. If a parent or guardian becomes aware that a person under eighteen has submitted personal information through hood-cleaning.ca, please contact our Privacy Officer at info@replies.hood-cleaning.ca and we will delete the record within five business days of verification.

Changes to this privacy policy

How and when this document is updated.

This privacy policy may be revised from time to time to reflect changes in our practices, in the technology we use, or in the legal framework that governs personal information in Canada. Whenever it is revised, the effective date at the top of the page is updated and a short note describing the change is added to the bottom of this section. Significant changes that materially affect how personal information is processed will be announced in a banner across the top of every page on hood-cleaning.ca for at least thirty days following the change. Continued use of the website or our services after a revision indicates acceptance of the revised policy.

Revision history. First publication on May 16, 2026.

Governing law and jurisdiction

Where and how disputes about this policy are resolved.

This privacy policy and any matter arising from it are governed by the laws of the Province of Ontario and the federal laws of Canada that apply in Ontario, including the Personal Information Protection and Electronic Documents Act. The parties attorn to the exclusive jurisdiction of the courts of the Province of Ontario, sitting at Toronto, for any dispute that is not first resolved by complaint to the Office of the Privacy Commissioner of Canada. Nothing in this policy waives any statutory right an individual holds under PIPEDA, the Ontario Limitations Act, or Canada's Anti-Spam Legislation.

Privacy policy — frequently asked questions

Five questions operators, property managers, and tenants ask about how Ontario Hood Cleaning handles their information.

How can I request the personal data Ontario Hood Cleaning holds about me?

Send a written access request to our Privacy Officer at info@replies.hood-cleaning.ca or call 647-905-9389. Include enough detail to identify the account or quote request you are asking about, such as the business name, the property address that was serviced, and the approximate date of the work. We will confirm receipt within five business days and provide a written response within thirty days, as required by the Personal Information Protection and Electronic Documents Act. A copy of the records will be provided in electronic form unless paper is requested.

Who is the data controller for the personal information collected on this website?

Ontario Hood Cleaning is the data controller for all personal information collected through hood-cleaning.ca, our phone line at 647-905-9389, our email address info@replies.hood-cleaning.ca, and any paperwork generated during a cleaning visit. The Privacy Officer accountable for this information is reachable at info@replies.hood-cleaning.ca. We do not outsource decision-making about customer data to any third party. Processors such as our form host and CRM act on documented instructions from Ontario Hood Cleaning.

Do you share my data with third parties or sell it for marketing?

We do not sell, rent, or trade customer information for marketing purposes. We share limited personal information only with the service providers that help us run the business: the form-hosting platform that receives quote requests, the customer relationship management system that stores active accounts, and our insurance broker when a certificate of insurance has to be issued to a named landlord or property manager. Each provider is contractually required to use the data only for the purpose for which it was disclosed.

How long do you keep my data after a cleaning is complete?

Quote requests that do not convert to a paid cleaning are retained for twenty-four months and then deleted. Cleaning records, signed compliance certificates, and the supporting photo packs are retained for ten years from the date of service. The ten-year window reflects industry practice for NFPA 96 documentation, the typical insurance retention requirement, and the limitation period under the Ontario Limitations Act. Marketing-list opt-out records are retained indefinitely so we do not accidentally re-add a contact who has previously withdrawn consent.

How do I opt out of marketing emails from Ontario Hood Cleaning?

Every marketing email we send carries an unsubscribe link in the footer that removes the recipient from all future marketing communications within ten business days, in line with Canada's Anti-Spam Legislation. You can also email info@replies.hood-cleaning.ca with the word unsubscribe in the subject line and we will process the opt-out manually. Opting out of marketing does not affect transactional emails relating to a current cleaning, such as quote confirmations, scheduling notices, and the signed compliance certificate sent after each visit.
